An administrator has additional access that a standard user does not. For example an administrator can view blocked emails on behalf of another user or entire domains.
To see additional columns on the mail log table, please click the Show More button.
From the dropdown menu at the top of the page select one of the available options.
If you select All email for a particular user, you will need to specify the user. A new text box will appear where you will need to enter the user's USO username.
Once you've clicked search, you will be presented with a list of that user's blocked emails, almost exactly as you would see your own.
You will see that instead of a Release link as you would see for your own blocked emails, you will see a Check link and you will need to check individual emails to see whether they can be released.
To check if a particular email can be released (or to release several emails in one action), you will need to click the Check link next to that message.
This will check whether it is possible to release that message. The possibility of release is dependent on the reason the message was blocked.
If a message can be released, a Release link will then appear in place of the Check link.
If a message cannot be released (if it is marked as a virus and has a code starting with a V, for example), when the check is carried out, a Release link will not appear and it will say Locked instead.
This means no action is possible as the email is considered to be dangerous.
If a message has been blocked due to rude words (the code shown is W1), it may be possible to release it.
Depending on the policy covering your establishment, it may be possible to release such an email from the Message Details page. If so, a Release button will appear.
Messages can be released in bulk by an administrator in a similar way to they can for a standard user. The only difference being you must check whether it's possible for the message to be released before you are able to release it.
Administrators looking at logs for a particular user will be able to release message when possible but will not be able to manage Allow and Reject lists on behalf of that user. Only the user is able to manage personal allow/reject lists.
An administrator has the ability to hide messages that appear in the spam filter.
When viewing the trapped emails list of another user (via the All email for a particular user option), the second to last column on the right contains a Hide option.
When emails are hidden, the user will not see them in their own list when logging in to the MailProtect website.
Hidden emails can be viewed by the administrator if necessary. Hidden emails can also be "un-hidden" so the recipient can access them.
To hide a message, click the hide button next to that message.
To reveal messages that have been hidden, use the filter at the top of the page to "Show hidden messages" and re-run the search.
The hidden messages will be highlighted with a yellow background.
